The Supervisor of Finance & Operations is part of the leadership team and along with the Director of Finances & Operations supervises all of the agency's finances, HR, IT, Facilities, Board Support & Contract Management activities. This is a hybrid role that requires the incumbent to provide office coverage at least 3 days per week. This position is offered as a 1 year-contract with the possibility of becoming a permanent role.

ROLES AND RESPONSIBILITIES

  • Support senior leadership in the administration and development of various resources (financial, personnel, IT, facilities, and intellectual) and provide operational collaboration to all departments to support the programs and services delivered by the agency.
  • Liaise with the leadership team to coordinate and integrate service delivery across the agency, including providing regular reports on financial statistics and activity.
  • Establish department procedures that are consistent with the agency’s strategic direction, core values, policies, and prograM/Funding guidelines.
  • Manage department resources and assign tasks to effectively meet performance expectations.
  • Manage department budgets, keep track of financial information, and provide respective reports as needed.
  • Approve staff time off requests and coordinate department coverage to ensure it is appropriately staffed during business hours.
  • Participate in department recruitment, manage new staff orientations, organize training, conduct performance reviews, and implement staff discipline as required.
  • Supervise and coach front line staff, provide direction, drive accountability within the team, and establish expectations in a one-on-one or in a group setting.
  • Coordinate department meetings and prepare respective materials, minutes, and agendas.
  • Assist senior leadership in the deployment of new programs and initiatives, coordinate respective launch activities, and provide staff with information and direction as required.
  • Manage customer service and address escalated conflict/complaints including submission of incident reports.
  • Moderate conflict among staff and liaise with senior leadership, escalating issues as appropriate.
  • Develop and maintain strong business relationships with key individuals/organizations/networks.
  • Market and promote agency through participation in job fairs, speaking engagements, special projects and professional and/or business associations.
  • Other duties as assigned by senior leadership.

QUALIFICATIONS AND EDUCATIONAL REQUIREMENTS

  • Completion of a post-secondary program in Business Administration, Accounting, or other related field.
  • 3-5 years of experience working in role with high levels of communication, organization, and time management requirements.
  • Advanced computer skills and effective research skills utilizing internet resources.
  • Ability to multi-task; highly organized with strong time management skills.
  • Capable of working efficiently and accurately under pressure; flexible to changing demands of the job.
  • Strong interpersonal skills to liaise with various agency stakeholders.
  • Able to exercise discretion with personal and confidential information.
  • Access to reliable transportation for travel outside the office.
  • Bilingualism (French/English) an asset.
  • Current and clear criminal record check, including vulnerable sector screening.

ADDITIONAL NOTES

  • Travel outside the office will be necessary.
  • May require non-standard working hours (evenings & weekends).
  • Must have the ability to work from home as needed.
