The Events Coordinator works in partnership with the Event Operations Manager to maximize business revenues through account management and event execution for both internal and external events.

The Event Coordinator position will be primarily remote with the possible need to visit some local sites mostly located in Simcoe County and North Eastern Ontario.

The coordinator works with internal departments like Sales, Player Development, VIP Services, Marketing, and external clients to develop /coordinate well executed events that meet their goals and objectives. This position coordinates the administrative process, production schedules, floor plans, checklists, correspondence, creativity, and all details to complete a well executed event and or tournament.

Key Responsibilities

  • Support the Event Operations and Sales department in respect to event preparation activities such as menu design, signage, traffic flow plans, event schedule, vendor / delegate arrivals, and all aspects of the event.
  • Presents revenue driving event ideas to sites for consideration / shares best practises
  • Assists Events team with coordinating meetings and events with maintaining accurate files, BEO’s, responding to inquiries, processing rooming lists, enforcing payment schedule, and managing final billing.
  • Performs site inspections, food tastings, room sites, and takes the opportunity to up-sell the client.
  • Performs some duties off site.
  • Keeps work areas clean and free of safety hazards, debris, and litter.
  • Perform all job duties in a safe and responsible manner.
  • Adhere to departmental quality standards.
  • Hands on daily responsibilities with the planning, coordination and execution of special events and concerts -Including sole responsibility as Production Show Lead as assigned.
  • Select, coordinate, and liaise with vendors with respect to special events as assigned. Develop RFQ’s, analyze presentations, prepare contracts, process purchase orders, and ensure contract fulfillment.
  • Chair or co-chair departmental meetings and take/distribute meeting minutes.
  • Conceptualize, develop, and adhere to effective timelines and schedules. Confidently delegate and negotiate with other departments and outside vendors.
  • Liaise with talent buyers/booking agents with respect to special event concerts/entertainment at Casino Rama and off-site locations and advance entertainers’ accommodation, travel, and catering in a professional well-organized manner.
  • Assist Player Development in the planning and execution of slot and table tournaments.
  • Prepare requests for, and assist with, the development of promotion and event collateral for tournaments.
  • Submit necessary documentation for tournaments to the legal department for AGCO notification and standards approval for events.
  • Evaluate player events with post revenue analysis, department, and guest feedback.
  • Performs some duties off site.

  • Perform other related and compatible duties as assigned

Skills, Knowledge and Abilities Required :

  • Must possess an ability to obtain and communicate accurate information with meticulous attention to detail
  • Must be organized and able to effectively prioritize tasks and meet deadlines under pressure and mínimal supervision
  • Excellent communication skills, both verbal and written
  • Sound mathematical skills and analytical skills
  • Proven high level of Customer Service
  • Excellent time management, can handle multiple responsibilities and working in a team environment
  • Must be able to maintain a flexible work schedule which includes some weeknights and weekend assignments

Experience, Training, Certification and Education (demonstrating requirements) :

  • Requires a minimum education of a University degree or College diploma in Event Management, Marketing, Tourism or Business or a combination of related education and 1-3 years of event planning.
  • Must have a valid driver’s license and have access to a vehicle and appropriate insurance for the purpose of using it for work.
