Job purpose

The purpose of the Customer Service Representative is to manage various administrative and support tasks including lead logging, handling phone inquiries, preparing tender documents, and performing additional administrative duties as assigned. This role supports the Sales department and works closely with multiple teams to ensure efficient operations and successful project submissions.

Duties and responsibilities

The primary duties and responsibilities of the Customer Service Representative include, but are not limited to, the following:

  • Manage incoming phone calls and direct them to the appropriate personnel or department.
  • Handle customer inquiries and provide accurate information regarding services and products.
  • Act as backup/vacation coverage for service advisors
  • Maintain a log of phone inquiries and follow up as necessary.
  • Updating client inventory in software system
  • Manage the inbound lead process including vetting and logging leads.
  • Maintain a detailed and organized log of all leads.
  • Analyze lead data to identify trends and opportunities for business development.
  • Monitor bidding sites to identify potential opportunities for the company to bid on.
  • Prepare and organize tender documents, ensuring all submissions are comprehensive and accurate.
  • Coordinate with various departments to gather necessary information for tender submissions.
  • Ensure all tender documents are submitted on time and meet all requirements.

Additional Admin Tasks as Assigned:

  • Perform general administrative tasks to support the Sales department and other teams as needed.
  • Assist in the preparation and maintenance of various reports and documents.
  • Organize and maintain electronic and physical filing systems.
  • Support senior management and other teams with business development activities.

Qualifications

Qualifications include:

  • Post-secondary education in Business Administration, Engineering, Construction Technology, or a related field.
  • 3 years of experience in a similar role, preferably with experience in proposal writing
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Knowledge of/experience in accounting is an asset
  • Excellent written and verbal communication skills.
  • Proficiency in Microsoft Office Suite and the ability to learn new software quickly.
  • Strong analytical skills and attention to detail.
  • Ability to work independently and as part of a team.
  • Valid Driver’s license and clean abstract

Physical requirements of this role include:

  • Ability to sit for extended periods of time
  • Accurate typing speed of 60 words per minute
