Job Summary : Key Responsibilities :

  • Schedule and dispatch field staff to various job sites in a timely and efficient manner.
  • Manage and coordinate multiple calendars for staff, ensuring appointments and deadlines are met.
  • Oversee the coordination of resources across landscaping, contracting, and property management services.
  • Maintain organized office files and records, including customer information and work orders.
  • Communicate with clients regarding work progress, updates, and service follow-ups.
  • Provide administrative support to management and employees across different business lines.
  • Assist with invoicing, payroll, and other administrative tasks as required.
  • Collaborate with vendors, subcontractors, and clients as needed to ensure smooth workflow.
  • Perform any other duties as assigned to help drive business success.

Qualifications :

  • Proven experience in an administrative or office management role, ideally within the landscaping, contracting, or property management sectors.
  • Experience with scheduling and dispatching is essential.
  • Strong organizational skills with the ability to manage multiple tasks and deadlines.
  • Excellent verbal and written communication skills, able to interact with both clients and employees professionally.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant office software.
  • Ability to work effectively across different departments and business lines.
  • Positive attitude, problem-solving mindset, and strong interpersonal skills.
  • Knowledge of the construction and/or property management industry is a strong asset.

Preferred Qualifications :

  • Familiarity with working in a multi-business-line company.
